Responses and results

The step-by-step basics (opening responses, the table, searching, filtering, exporting) are in View responses. This page covers who can see what, and the reports for each form type.

1. Your access level for the form, from your role and any shares:

LevelYou can
Cannot see responsesSee that the form exists, nothing submitted
Can see totals onlySee Results charts and counts, but not individual responses
Can view, identifying answers hiddenOpen responses, with names, emails, phones and similar masked
Can view responsesOpen full responses
Can view and downloadOpen full responses and export them

The built-in Creator role sees totals only. To read individual responses, someone needs the Analyst, Admin or Owner role, or a share on the form. See Teams & roles.

2. The form’s response privacy, which overrides every role, including the owner’s:

PrivacyEffect
Standard“Roles apply as normal.”
Anonymous“Nobody can open an individual response — not even you. Aggregate results only.”
Blind review“Responses are readable, but never attributed to a person.”
Restricted“Only people this form is explicitly shared with, whatever their role.”

See Response privacy.

Deleting needs the Delete responses permission. Open a response and select Delete this response, or tick several in the table and select Delete. Deleting is permanent and can’t be undone. Export first if you might need the data.

Each plan includes a number of responses per month across the organization: 1,000 on Free, 10,000 on Pro and 100,000 on Ultra. See Billing & plans.
