Members, teams and roles

Three things decide what someone can do in KyraForm:

  • Role: what they can do across the organization.
  • Teams: which forms they work with.
  • Form shares and privacy: exceptions for a single form.

Members in the sidebar lists Organization members (“People who currently have access to this workspace”) and Pending invitations.

  1. Select Invite member.
  2. Enter their Email address. “They do not need an account yet — the invitation waits for their first sign-in.”
  3. Choose their Role. Creator is the default.
  4. Send. “They will see the invitation the next time they sign in.”

Select Import a list. Paste Email addresses or Upload a CSV, choose a Role for everyone else, and send. The result shows who was Invited, who was Already there, and any that Failed.

From a member’s Actions menu, change their role or remove them. Revoke cancels a pending invitation. The Owner can’t be removed.

Plan limits: 5 members on Free, 25 on Pro, unlimited on Ultra.

Roles in the sidebar: “Permission sets assigned to members across the organization.”

Built-in roles can have their permissions edited (Edit permissions) but not renamed or retired.

On Ultra, select New role, give it a Name (such as Reviewer) and Description, and tick its Permissions. Roles that are no longer needed can be Retired.

Teams: “Groups of people and the forms they work on.” Every form is owned by a team. A person can be in several teams.

  • New team: a Team name and Description (optional).
  • Sub-teams: teams can be nested, such as Sales → North → Chennai. Use Move to top level to un-nest one. Nested teams are on Pro and above.
  • Add members: pick people from the organization. “Owner already has access to all teams.”
  • Delete a team: choose to Keep sub-teams, move them up or Delete team and all sub-teams.

In the builder, Settings → Team and sharing: “Choose the owning team and control who can work with this form and its responses.”

SettingWhat it does
Owned by team“The team groups this form. Who can edit or read it comes from org roles and shares.”
Shared withPeople or teams given access to this one form. Share with A person or A team, choose the Access, and optionally when it Expires.

Use shares for exceptions, such as letting an HR partner read one form’s responses without making them an Analyst everywhere.

Who can read responses sets the form’s privacy: Standard, Anonymous, Blind review or Restricted. It overrides every role. See Responses → What you can see.

“Locked once the first response arrives — people answer under the terms shown at the time.” Choose it before publishing.
